Our principles of impartiality, avoiding conflicts of interest and confidentiality, together with our working procedures for protecting commercial information and documents.

For Kılıç Kurumsal Danışmanlık A.Ş. (Kılıç Kurumsal), trust is directly related to how an engagement is obtained and accepted, how information is protected, the criteria used to make decisions and how experience is applied.

The rules set out on this page apply to the management and employees of Kılıç Kurumsal, appointed experts and persons whose support is sought during an engagement. Every engagement is conducted with integrity, impartiality, moderation and confidentiality.

A. Our Ethical Approach to Work

1. Integrity and Accuracy

We do not misrepresent information. We do not claim that we can undertake work that we are unable to perform. If sufficient information or documentation is unavailable on a matter, we state this clearly.

We do not assist in the preparation of false, misleading or incomplete information. If it becomes apparent that a document does not reflect the facts, we stop the work and notify the relevant person.

2. Principle of Impartial Decision-Making

We do not formulate our reviews and opinions on the basis of personal relationships, pressure or an expectation of benefit. We conduct our assessment according to the relevant document, contract and applicable rule.

3. Principle of Equal Treatment

In work relating to public procurement, we observe the principles of equality, transparency and fair competition. We do not take any action intended to give any party a concealed advantage or to mislead other parties.

4. Respectful Communication

We use clear and respectful language with institutions, companies, employees and experts. We do not permit conduct that demeans individuals, discriminates against them or exerts pressure on them.

5. Compliance with Legislation and Rules

Every engagement is conducted with due regard to applicable legislation, tender documents, contractual provisions and the internal authority structures of the institution/company. A request that breaches the rules is not accepted on the assumption that it will expedite the work or provide a benefit.

B. How Do We Protect Confidential Information?

1. Need-to-Know Rule

Information and documents may be accessed only by persons assigned to that engagement. Information and documents are not shared in any way with persons who are not involved in the engagement.

2. Secure Transmission

An appropriate transmission method is determined for confidential or important documents. Protective measures such as passwords, access permissions or separate transmission are used where necessary.

3. Protection and Retention of Physical Documents

Printed documents and files are stored so that unauthorised persons cannot access them. Documents are retained for as long as required for the purpose of the engagement and by law. When the engagement is completed, it is determined which documents will be delivered, retained or deleted. The retention period is assessed together with any request from the company or Institution.

C. Use of Personal Data

1. Collecting Only Necessary Information

We do not request personal information that is unnecessary for communication, an application or an engagement. We ask that excessive identity, health, family or financial information not be sent.

2. Use for a Specific Purpose

Personal data received is used solely for the purpose for which it was collected. If another purpose arises, the relevant person is provided with the necessary information.

D. Digital Environments and Remote Working

1. Device Security

Working documents are stored on devices that unauthorised persons cannot use. Confidential files are not left on shared or unsecured devices.

2. Online Meetings

Only invited persons may attend an online meeting. If the meeting is to be recorded, participants are informed in advance.

3. Screen and Document Sharing

Care is taken to ensure that other files are not visible during screen sharing. If it is discovered that a document has been sent to the wrong person, measures are taken without delay.

E. Experts and Persons Providing Support

1. Compliance with the Same Rules

Experts participating in an engagement and persons providing external support also comply with the rules on ethics, conflicts of interest and confidentiality. They are informed of this obligation before their assignment begins.

2. Restricted Access

Each person is provided only with the documents required for their work. A person’s access to files is removed when their assignment ends.

3. Delivery and Responsibility

Any document or opinion prepared is recorded together with the name of the relevant person and the work they performed. In collaborative work, the parts prepared by each person are clearly indicated.

F. Separation of Service Areas

Kılıç Kurumsal Danışmanlık A.Ş. operates in the fields of commercial consultancy and corporate training. Legal practice, litigation services, acting under a power of attorney and legal representation are not activities of this company.

If it is determined that a request requires legal representation or litigation, the applicant is informed that the matter must be handled by lawyers specialising in that field. Consultancy services and legal representation are not combined under the same contract and scope of work.

G. Start with Secure Communication

You may initially provide a brief description of your request concerning a tender, contract, training or review. Before sending a confidential document, it is sufficient to specify the type of document and its level of confidentiality.

Once the request has been reviewed, the appropriate communication channel, information-sharing method and scope of the engagement are explained. This allows the process to begin securely and systematically from the very first step.
